RECORD KEEPING

Maintaining clear, concise, and comprehensive records is a vital component to the success of a ministry. Because various reports and audits are born out of these records, it is imperative that those who oversee and manage them be women of integrity and diligence. Not everyone is gifted in organization and record management, so determine early who possesses such skills. Again, establish a system that incorporates regular audits of all files in order to maintain ministry integrity.

Record Types

  1. Master File. Include the names, addresses, telephone numbers, email, and other pertinent information on all the women in your church. If you are a conference leader, you would maintain this information on all the local WM directors in your conference.
  2. Historical Record. Document the activities of the group through photos, copies of promotional items, agendas, and other associated items. Think of it as an enhanced scrapbook or photo album.
  3. Financial Records. Meticulous detail should be exercised when managing your financial records. Include categories that track annual revenue, expenditures, receipts, and audit systems.
  4. Evangelism Record. Keep track of conversions and baptisms, both in water and in the Holy Spirit. This record should also track the discipleship process of each convert to insure she is receiving adequate training.
  5. Visitor Record. Consider developing a visitor packet that includes a visitor profile card. Use this information to do follow-up ministry through cards, telephone calls, or letters.
